To ensure that the funds we receive from our individual and institutional donors are spent effectively and efficiently, leading to an optimal and lasting impact and benefitting these children’s lives, WCH needs a thorough and accurate financial administration system and as Team Leader Financial Administration at War Child Holland (WCH) this is what you work for – better future for children affected by war.

As Team Leader Financial Administration you are responsible for the accurate and timely global administration of financial transactions, so that internal and external reports are a true representation of War Child’s financial position and are a good basis for informed decision making. Additionally, you are in charge of War Child’s global financial administration and providing accurate financial information to all internal and external stakeholders.

As Team Leader Financial Administration you supervise hierarchically the team of financial officers and supervise functionally the financial officers/accountants who work in our programme Country offices. You report to the Head of Finance Department, in our office in Amsterdam, where this position is based.

Your responsibilities:

  • Set up and maintain the financial administrative organisation, ensuring accurate financial administration of Amsterdam office of WCH
  • Consolidate the global financial administration, keeping track of internal reporting due dates of all countries and holding others accountable
  • Oversee the proper provision of information by internal stakeholders, such as HR for the payroll, budget holders for returning signed invoices, employees for time sheets, etc.
  • Prepare or coordinate in- and outgoing payments after checking proper supporting documents for authorization
  • Ensure the accounting system is suitable, being an expert on the administration side of the system and answering questions from stakeholders about the system
  • Serve as source of information regarding requests for information from the financial administration
  • Ensure well-organized (digital and/or hard copy) financial archives. Provide records and documents instantly, upon request of for instance auditors
  • Prepare periodic analyses and reports for internal stakeholders
  • Prepare the annual accounts with related specifications and audit files independently;  you are the contact for audits held at Amsterdam office
  • Develop templates for reporting, such as budget-actuals
  • Develop reports in the system and train internal stakeholders to extract their own data
  • Provide proactive analyses, prepare reports, develop financial tools and train accounting staff and stakeholders abroad
  • Coordinate accounting duties in compliance with War Child’s system of internal control as well as providing information about accounting entries
  • Continuously strive for improvements to mitigate risks and to reach efficiencies. Detect bottlenecks in the administration and checking processes; make suggestions for improvement and take required actions independently
  • Ensure clear instructions for work processes are available
  • Develop new processes, policies, manuals and tools, and take care of implementation and global communication, training and roll out.
  • Understand, know and continuously seek updates about internal rules and procedures and about external (donor) requirements that are relevant for the financial administration
  • Ensure global compliance with all relevant requirements
  • Manage employees by monitoring the quality, efficiency and quantity of the performance of work and guide, instruct and motivate staff
  • Provide training on the job, introduction, and support to colleagues. Identify development potential of the employees and support staff in their development.
  • Maintain necessary contacts with suppliers related to the departmental focus.

Functie-eisen en profiel

  • Bachelor or HBO level in Finance Management, Accounting or related field.
  • Min. of 5 years working experience in financial administration role, ideally in international settings
  • Experience with managing a team
  • Good understanding of accounting structures, Dutch fiscal and banking regulations
  • Experience in maintaining contact with banks, auditors, etc.
  • Ample knowledge of processing data in the administrative systems and financial ERP system (preferably UNIT4)
  • Knowledge of foreign currency accounting and payment issues
  • Strong intercultural communication and team player skills
  • Excellent analytical and reporting skills
  • Structured and with strong planning skills, cost-conscious and result-driven
  • Microsoft Excel has no secrets for you
  • Full proficiency (verbal and written) in English and Dutch
  • Fully support War Child’s mandate and mission
  • Available for at least 32 hours per week.
  • EU citizen or eligible to work in the Netherlands.

  • Salary range from €3263 to €4221 gross per month, based on 40 hours per week (the exact step determined by the years of your relevant working experience)
